PRE-WORK
Here is messaging to send to your participants prior to meeting. Feel free to modify to fit your personality:
Thank you all for your participation in last month’s MIBE Meeting. During our next meeting we will be reviewing the work you have done since our last meeting and creating an action plan for the areas we want to focus on. Please bring your Value Awareness Exercise to our meeting. If you’ve fallen behind on them, please make sure to look for examples of our core values in action between now and our meeting on ___________. Thank you all, I’m looking forward to another great meeting!
AGENDA
Intro from facilitator (2-5 min)
The Why: Use this opportunity to communicate with your team as one group. It’s powerful for them to hear the same message together and a great opportunity to recognize participants in front of their peers.
The How: Choose the things that are most relevant for your company to go over.
Suggestions:
• Welcome – Reinforce your mission/vision/values – Why do you exist as a company?
• Announcements
• Celebrations
Centering Exercise (5 min)
The Why: This exercise helps everyone to be present and focus their attention on the meeting. The quick-fire questions keep participants on their toes and force them to think about what they’re feeling right now.
The How: Go around the room and have everyone complete the sentence one at a time. As the facilitator, you should go first. You can reverse the order of who responds after each question if you want to mix it up. Remind participants that this is meant to be fairly quick and their first thought is often their best thought, so don’t overthink it and go with what pops into their head right away.

Video from MIBE® (10 min)
The Why: Anthony will provide an intro to the topic and give more information about the overall program. Each month, educational and inspirational information will be shared through this method. The video should make your job as the facilitator easier so you are not responsible for having to “teach” the lesson.
The How: Use the video below. It will be helpful for you to view it prior to the meeting. You will just need to be prepared to show it on a screen to your team. We recommend testing ahead of time to help avoid streaming/buffering/internet issues!
Discussion (45-60 min)
The Why: This is the opportunity for the group to share, collaborate and build trust. Ultimately the goal of these meetings is to move the people in your organization forward as leaders and improve your overall culture.
The How: As the facilitator it is very important that you seek participation from everyone at the meeting and that you create space for people to be open, honest and vulnerable. We will provide you with the content each month, it’s your job to facilitate the discussion around that content.
1) Review the ground rules for these meetings (2 min)
You don’t necessarily need to go over the post it notes, just review the rules and hang the poster in the room as a reminder to all participants. If there is something that needs to be added or modified, you can also do that at this time.
2) Worksheet Review (10-15 min)
Have people share what stood out to them on their Value Awareness Worksheets from last month. It’s good for people to share their examples, and try to help them look for patterns. You could ask questions like: Was there one or two values that stood out more than others? Were there any values that did not show up on your list? Were there any team members that showed up a lot, or were frequently associated with one value? Did anything surprise you? Remember, the goal is to get them looking for positive examples of how your values show up day to day in your organization.
3) Culture Survey Recap (10 mins)
Discuss how the results of the culture survey relate to your company values. We recommend presenting your top take-aways from the results, rather than the report as a whole. Think about how the statements identified (positive and negative) relate to your values? What are tangible things you can do to make progress in those areas?
4) Creating a Plan (30-45 mins)
This part will build on everything you’ve done up to this point in your MIBE Meetings. Your goal is to come away with 2-3 core value initiatives that your team will focus on moving forward. These initiatives could have a wide range in time frame (some may have a completion date and others may be ongoing). The first initiative should be around how to increase awareness of your values. No matter how well you are doing at communicating your values, there is always room to improve or Make It Better Everyday (see what we did there?). The next 1-2 should be decided by the group as a whole and should be based on a combination of your survey results and your discussion from last month. If you remember, you asked your team to give a 1-5 rating on how well the company is doing at living each of your values. This should provide an indication on what values to focus on.
Spend some time brainstorming possible things/initiatives your company could do to improve how you lean into your values. For example, if you’re looking to improve communication, some ideas might be: using group gatherings to provide company updates, a monthly newsletter, implementing text communication chains or adopting a formal communication process. Remember the goal with brainstorming is not to flush out how something will or won’t work, it’s to come up with ideas. Once you’ve completed your brainstorming, have your team vote on the initiatives that they would most like to see implemented. Each person should get 2-3 votes. Sticky notes could be a good way to do this if you are meeting in person by having everyone put their name next to the two or three initiatives they would like to see implemented. The initiatives with the most votes should be the ones you move forward with.
Once you’ve selected your initiatives, have people volunteer to be part of the task force that moves it forward with one person being assigned the leader who is charged with making sure it gets done. The leader doesn’t have to do all the work, yet is responsible for ensuring the group is making progress and meeting deadlines. Encourage people to volunteer for a task force that aligns with their personal core values. We’ve created a sheet to fill out for each initiative that includes; leader of the task force, other members, deadline (if applicable), the value it pertains to, a description and the outcome desired.

The final step is to have each person write down one thing they personally will commit to doing that will have a positive impact on the company’s culture. This should be something that encompasses one of their personal core values and one of the company core values. For example, if inclusiveness is one of my core values, I may commit to asking for suggestions from at least four people on challenging decisions that need to be made. This would also align with the company core value of Teamwork. Have each person share their commitment. You can either try to write them all down during the meeting, or it may be easier to have everyone send you theirs via email. The important thing is that you refer back to this to keep everyone accountable.
